Job Summary:
The Procurement and Logistics Officer is responsible for managing the procurement process, ensuring timely purchase of goods and services, and coordinating logistics activities to support organizational operations. The position ensures compliance with organizational policies, maintains supplier relationships, and oversees the efficient movement, storage, and distribution of goods.
Key Duties and Responsibilities
Procurement Responsibilities:
- Prepare and implement procurement plans in coordination with relevant departments.
- Conduct market research and identify qualified suppliers and vendors.
- Request quotations, evaluate bids, and prepare comparative analyses.
- Prepare Purchase Requests (PRs), Purchase Orders (POs), and procurement documentation.
- Negotiate prices, delivery schedules, and contract terms with suppliers.
- Ensure procurement activities comply with organizational policies and procedures.
- Maintain accurate procurement records and supplier databases.
- Monitor supplier performance and address procurement-related issues.
- Coordinate with finance and administration departments regarding payments and procurement documentation.
- Prepare procurement reports and updates for management.
Logistics Responsibilities:
- Coordinate the transportation, delivery, and distribution of goods and materials.
- Monitor inventory levels and ensure adequate stock availability.
- Manage warehouse operations and maintain proper stock records.
- Ensure proper receiving, inspection, and storage of goods.
- Track shipments and resolve transportation issues.
- Maintain logistics documentation, including delivery notes and inventory records.
- Coordinate vehicle utilization and transportation schedules when required.
- Ensure compliance with safety and security standards in storage and transportation.
- Conduct periodic inventory counts and reconciliations.

Job Requirements
Education:
- Bachelor’s Degree in Business Administration, Supply Chain Management, Logistics, Procurement, Management, Economics, or a related field.
Experience:
- Minimum 3–4 years of relevant experience in procurement, logistics, supply chain, or administration.
- Experience with gov, private sector, or development projects is an advantage.
Technical Skills:
- Strong knowledge of procurement procedures and supply chain management.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
- Experience with inventory management systems is preferred.
- Ability to prepare procurement and logistics reports.
